Defining Eligibility Tables as Field-Based or Group-Based

Overview

When you define a new eligibility table in System Manager, you can specify whether it is to be field-based or group-based. This allows administrators greater flexibility to restrict class registrations based on the value of a particular field or to restrict registrations based on those students who are members of a particular group.

It is important to note that during the database upgrade to LMS 6.0, existing eligibility tables will be defined as field-based.

STEPS

SYSTEM MANAGER

To create a group-based eligibility table:

  1. Select Registrations and then select the Eligibility tab.
  2. Click on New.
  3. Select Group based from the drop down box and click OK.
  4. Highlight the name of the group you wish to use and click Add.
  5. Click Save.
  6. Enter a name for the eligibility table and click OK.
  7. Click OK again to the “Saved” confirmation message.

To create a field-based eligibility table:

  1. Select Registrations and then select the Eligibility tab.
  2. Click on New.
  3. Select Field based from the drop down box and click OK.
  4. Select a person field from the from Field drop down box.

    Example: Department Number
  5. Enter data in the Value 1 column that matches how you wish define who is eligible.

    Example:
    100 is a Department Number. Entering 100 in the Value 1 column means that anyone with 100 in the Department Number field is eligible to take the courses or classes that this eligibility table gets assigned to later in Administration Center.
  6. Optionally, use the Value 2 column to enter ranges.

    Example: Field is Job Code and 130 through 150 represent jobs in Human Resources Entering 130 in the Value 1 column and entering 150 in the Value 2 column would mean that anyone with Job Code 130 through 150 will be eligible to take the courses or classes that this eligibility table gets assigned to later in Administration Center.
  7. Click Save.
  8. Enter a name for the eligibility table and click OK.
  9. Click OK again to the “Saved” confirmation message.

NOTE: Once an eligibility table has been created, its type cannot be changed.
