Enabling Microsoft Outlook Integration
for LMS Mail

OVERVIEW
When this new LMS 6.0 feature is used, the e-mail that people
receive contains an iCalendar definition file as an attachment.
Double-clicking the attachment opens an Outlook Appointment window
with the appropriate subject, description, dates, times, and so
forth already filled in. The recipient can then add the appointment
to their Outlook Calendar by accepting the appointment. If they
do not want to add the appointment, they just close the window
without accepting the appointment. The same is true for updating
or removing the appointment. The following rules govern the use
of the Outlook Integration functionality:
- This functionality only supports single-session classes because
Microsoft Outlook does not support having multiple appointments
in the same iCalendar definition file.
- Classes must have a start date (XSTARTDATE), start time (XSTARTTIME),
end date (XENDDATE), and end time (XENDTIME) specified for this
functionality to be used. If any of these fields are empty for
a class, the iCalendar definition will not be attached
to the e-mail messages that are generated for the associated
class record.
- This functionality does not apply to imported registration
records, as the records are being imported. In other words,
during the import, students do not receive e-mails confirming
their status in a class. However, if a student later changes
their status in a class after the registration record was imported,
then they do receive an e-mail confirming their registration
status.
STEPS
SYSTEM MANAGER
- Go to Fields and select the Class tab.
- Locate the Outlook Integration field (XOUTLOOK) and unhide
it.
SYSTEM CENTER
- Go to the Miscellaneous tab under Mail - Settings.
- Set the Enable Outlook Integration setting to "Yes" to enable
Outlook Integration functionality system-wide.
- Define the Outlook Integration Description setting to specify
which class Info section will be used as the "description" for
the appointment.
- Go to each Standard type e-mail template that you want to
use this functionality with and activate the Outlook Integration
checkbox in the ID Data tab of the e-mail template. This checkbox
is only accessible when using the "Standard" e-mail template
type.
ADMINISTRATION CENTER
- Set the Outlook Integration (XOUTLOOK) class field to 'Yes'
for each class that you wish to use this feature.
>> Helpful Hint: You can use the Global Change feature in System
Manager to update the Outlook Integration field of several class
records all at one time.
- Make sure that any of the class records used with this feature
have a start date (XSTARTDATE), start time (XSTARTTIME), end
date (XENDDATE), and end time (XENDTIME) specified.
